I've sync'd for years with Outlook open without a problem. I've also hardly ever had a problem with HotSync - reading about all the difficulties with ActiveSync and Vista Mobile Device Centre really put me off switching to Windows Mobile (that and missing my current Palm apps). I thought Docs2Go for Palm was also meant to provide a more accurate portable version than Office for WM?
